Student Data and Privacy

Toledo Public Schools is committed to protecting the privacy and confidentiality of students’ personal information. The district understands the importance of safeguarding student data and is dedicated to ensuring compliance with federal and state laws regarding student privacy, including the Family Educational Rights and Privacy Act (FERPA) and the Children’s Online Privacy Protection Act (COPPA), as well as other applicable regulations.

  1. Collection and Use of Student Data
    We collect and use student data only for educational purposes, to support academic achievement, improve learning outcomes, and enhance the safety and well-being of our students. This may include academic records, attendance information, assessments, and health records, among other types of data. We will only collect data necessary for fulfilling these purposes.
  2. Access to Student Information
    Access to student information is restricted to authorized school personnel and partners who are involved in the delivery of educational services and support. All staff members are trained on the importance of data privacy and are required to follow strict confidentiality protocols when handling student information. Participation with outside partners will always require individual parent releases.
  3. Sharing of Student Data
    Toledo Public Schools will not share, sell, or lease student data to third parties without proper consent, except as required by law or to fulfill our educational objectives (see FERPA below). Any third-party vendors with access to student data will be required to sign agreements ensuring compliance with privacy and security standards and to use the data only for the purposes specified (see SB29 below).
  4. Parental Rights and Notification
    Parents and eligible students (18 years or older) have the right to access, review, and request amendments to their student’s educational records. We encourage families to stay informed about their privacy rights and update their releases of information yearly.
  5. Data Security
    We take the security of student data seriously and implement appropriate physical, administrative, and technical safeguards to protect against unauthorized access, disclosure, alteration, or destruction of student records.
  6. Compliance and Updates
    Toledo Public Schools regularly reviews its data privacy policies and practices to ensure compliance with evolving laws and regulations. Any updates or changes to this privacy statement will be communicated to parents, students, and staff as appropriate.
